You should not have to book a call to find out what a room costs. Here is the whole rate card, the minimums, and what is and isn’t in the number.

Hourly rates to rent the room

A 35-person training day here is $684, and that is the whole bill. The same headcount at a venue with a food-and-beverage minimum is $1,500 or more in catering before the room is counted, and then 20–35% in service charge and tax on top. Those are typical mid-market figures rather than a quote from anyone in particular. Most function rooms will not publish a number at all.

No food-and-beverage minimum on any of those. No service charge. No per-head fee. No charge for the chairs and tables.

About cleaning

Cleaning is inside the hourly rate on every booking type. There is no cleaning fee, no service charge, and nothing added at the end. The number we quote you is the number you pay.

That is why the event rates read higher than a room that quotes $150 an hour and then bills you for the clean afterwards. We would rather have it in the rate than in the invoice.

How booking works

Four steps, no sales call.

  1. Tell us what you’re planning. Use the enquiry form, or email or call. Date, rough hours, rough headcount, and what the session is.
  2. We confirm the room is free and send you the total in writing: the hourly rate, the hours, and nothing else.
  3. Come and see it if you want to, before you commit. Tours are free and take fifteen minutes.
  4. Book the date, and book the hours you actually need: the booked window is your access window, and setting up and clearing away happen inside it. Then turn up, set the room up how you need it, and bring your own lunch.

Questions

The things people ask before they book.

Does the booking include time to set up and clear away?

It does, in the sense that it has to: the hours you book are the hours you have the room, and setting up and clearing away happen inside them. So book the time you actually need rather than only the time your guests are here. A reception that runs 6pm to 10pm usually wants six hours on the booking, not four.

That is why weekend evenings carry a six-hour minimum. A Saturday evening is one booking a day here, which means nobody is hurrying you out because another party is coming in behind you, and it also means the room is genuinely gone for that day. Six hours is what that costs.

We do not run informal early entry or informal late finishes. Your access window is written into your quote and that is the window, for your protection as much as ours: anything that happens in an hour nobody wrote down sits outside the booking. If you want the room from 3pm, book it from 3pm.

Is there a deposit?

No deposit, and nothing held against damage. The booking is paid in full to hold the date, and that is the whole transaction. Book through Peerspace and you pay there when you confirm; book directly with us and we invoice you before the date.

What if I have to cancel?

More than 7 days before your booking, you get everything back. Between 7 days and 24 hours before, half. Inside 24 hours, nothing — by then the date is gone and we could not have sold it to anyone else.

Separately, if you change your mind within 24 hours of booking, and that is still at least 48 hours before your date, you get a full refund regardless of the above.

Can we bring our own caterer?

Yes, and you have to: there is no kitchen and no in-house catering here. Bring whoever you want. There is no approved-vendor list, no corkage, no per-head fee and no catering minimum. That absence is the reason the room is cheap to book.

Can we bring alcohol?

Yes, on two conditions, and one purchase usually covers both.

The license. We hold no liquor license, so nothing can be sold here. For a private event in Virginia you either take out a one-day ABC banquet license yourself, currently $40 and applied for online in about a week, or you use a licensed vendor who serves it for you. Either way nothing may be sold: no cash bar, no charging for drinks, no ticket price with drinks inside it.

The insurance. Any booking with alcohol needs a certificate of insurance naming KNI Investments LLC as additional insured, $1,000,000 per occurrence and $2,000,000 aggregate. If a vendor is pouring, we need the vendor’s certificate as well as yours.

That reads heavier than it is. A one-day event policy starts around $60, takes about five minutes online, and most carriers will add us as additional insured at no extra cost and include host liquor liability in the same policy. See the next answer.

Do I need insurance?

For events and parties, video and production, and any booking with alcohol: yes. A certificate of insurance naming KNI Investments LLC as additional insured, $1,000,000 per occurrence and $2,000,000 aggregate, sent to us before the date.

For meetings, workshops and training: no certificate. The rental agreement covers it. We are not going to make a twenty-person board meeting file paperwork.

If you don’t already carry general liability, one-day event policies are sold online in a few minutes, usually somewhere between $60 and $150 depending on headcount, and the certificate is issued straight away. Eventsured and The Event Helper both do this and both let you add us as additional insured. We have no relationship with either and any carrier is fine, so use whoever you like or your own broker. We just need the certificate before the date.

Is there a cutoff for music?

Amplified music comes down at 10pm. That is the city’s rule rather than ours: Roanoke’s quiet hours run from 10pm to 8am. Worth planning around if you are booking a weekend evening, because a 5pm to 11pm booking means music until ten and the last hour for clearing down. Unamplified noise, conversation and a room full of people carrying chairs are not the issue; a PA at eleven at night is.

What AV is in the room?

A large screen on a rolling cart, so the front of the room is wherever you put it. A whiteboard. A chalkboard painted straight onto the brick. Guest wifi on its own network name. That is the lot. There is no installed sound system, no lighting rig and no camera. Bring what else you need; the freight elevator and the lot outside make that easy.

Is everyone going to have power at their seat?

No. The eight seats at the permanent conference table have outlets up through the tabletop; everything else runs off folding tables, which have none. If your session needs forty laptops charging all day, tell us before you book and we will say whether the room fits.

How many people does it actually hold?

45, and that is a ceiling rather than a best case. Banquet 45, theatre 45, open floor 45, classroom 36, U-shape 21, and 8 at the permanent conference table on its own. Send us the headcount and what you are running and we will tell you which layout suits it.

What hours can I book?

Any day of the week, anywhere between 7am and 11pm, with at least 24 hours’ notice. Amplified music still comes down at 10pm whatever time you finish.

We don’t run overnight bookings as standard — nobody is on site through the night. If a production genuinely needs the room overnight, ask, and we will work that one out with you rather than pretend the answer is no.

What about parking?

Free, in the building’s own lot out front. No meters, no garage, no validation stamp, and nobody has to feed anything.

How accessible is it?

The room is on the second floor. Accessible restrooms and a 4,500 lb freight elevator are on the first. If anyone in your group cannot manage stairs, raise it before you book and we will walk you through exactly what the access is rather than leave you to find out on the day.

Can we look at it first?

Yes. Tours are free, take about fifteen minutes and carry no obligation. Most people book after standing in the room, which is what you would expect of a room you are booking for the light.
